Overview

The Google Workspace add-on allows you to file your emails, attachments and files directly to your Collaborate instance, from your Gmail inbox or Google Docs, Sheets or Slides.

The HighQ Add-on for Google Workspace enables you to unite your Workspace apps and the HighQ platform:

  • Save emails and attachments from your Gmail inbox to HighQ,
  • Attach links to HighQ documents to your outgoing messages, with the option of applying advanced sharing restrictions for added security.
  • Save documents authored in Docs, Sheets and Slides directly to HighQ.
  • Open HighQ documents in Docs, Sheets and Slides. 

 

Install the HighQ Add-on

Open Gmail and click the + in the Add-ons bar (normally on the right of the screen).

Search for HighQ (or HighQ Add-on for Google Workspace) in the Add-on list.

Select the HighQ Add-on for Google Workspace panel and click Install to add the add-in.

Once the plugin has been installed a HighQ icon is displayed in the Add-ons bar (normally on the right of the screen).

Click the HighQ icon to see a welcome message.

Enter your HighQ site URL and click Connect.

The URL must include the site name

A browser window informs you if you have entered the correct URL. Close the pop-up window and refresh your browser.

Click the HighQ icon in the Add-ons bar to see a summary:

      

Save a message from Gmail to HighQ

Open the HighQ app panel and then open an email in your Gmail inbox. 

You must open on the add-on first so that the application can detect your actions.  

Select Save email to save a copy of the email and attachments in HighQ:

You see a list of Favorite or Recent locations. Click an entry to jump straight to that location:

You may browse to a sub-folder in that location, and then click Save to save the entire email.

To browse to a new location, click Browse sites.

Click to select a site. 

You must have permission to access the site.

If you do not see the site you require, click Next at the bottom of the list, or search for a site.

If you have access to many sites, type a site name in the Search site field.

Click Search to filter your sites, or Clear to remove a search filter.

A File successfully uploaded message confirms that the email is saved in the selected location.

If Duplicate file detection is enabled in HighQ the application either adds a new version of a previously saved file or asks if you want to save a new version.

 

Save an attachment to HighQ

Open the HighQ app panel and then open an email in your Gmail inbox. 

Select Save attachments to save any attachments in HighQ, then select the attachments to save:

By default, all attachments are selected. 

Click Next to see a list of Favorite or Recent locations. Click an entry to jump straight to that location:

To browse to a new location, click Browse sites.

Click to select a site. 

You must have permission to access the site.

If you do not see the site you require, click Next at the bottom of the list, or search for a site.

If you have access to many sites, type a site name in the Search site field.

Click Search to filter your sites, or Clear to remove a search filter.

Browse to a sub-folder in that location, and then click Save to save the selected attachments.

A File(s) successfully uploaded message confirms that the email is saved in the selected location.

Documents that are saved to HighQ are labelled Filed to HighQ:

Add a link to a file in HighQ to a Gmail message

You can share a link to a document on your HighQ instance. Start your email as normal, then click the HQ icon in the Compose window:

Select the site that contains the document:

Select the document to share, then click Share:

Security settings

Security settings allow you to set who can access the document, what they can do and for how long:

In the Accessible by options, you can set the security levels for accessing the document:

  • Anyone with the link - Anyone can access the document
  • Users in my organisation - Any users in the organisation with access to the Collaborate instance
  • Any registered system user - External users who are already registered with Collaborate

In the Download rights options, you can set security downloading the document:

  • Download, view and print - This will allow users in receipt of the link or email to download, view and print the document 
  • View only - Users in receipt of the link or email can only view the document

In the Link expires option, set how long the link may be accessed:

  • Never - Access to the link will never expire
  • After 2 days - Access to the link will expire after two days
  • After 7 days - Access to the link will expire after seven days
  • After 30 days - Access to the link will expire after thirty days
  • Choose date - Select your own date for the link to expire

After you set security options, click Next.

Check your settings, then select if you want to receive a notification when the document is accessed.

Click Add link. Your email now contains a link to your document:

The recipient of your email can click the link to open the HighQ share window. 

If you have multiple applications that can open the document, you also see an Open in option:

Depending on your share options, the recipient may be able to forward the link to further recipients.

 

Save a file from Google Workspace to HighQ

You can save documents from Google Workspace (Docs, Sheets or Slides) to your HighQ site.

Open Docs, Sheets or Slides, then click the HighQ icon in the Add-on bar:

You can save your current document or open a document from HighQ.

Save a document

Open a document in your Workspace and open the HighQ app panel.

Select Save document to save the open document in HighQ:

You see a list of Favorite or Recent locations. Click an entry to jump straight to that location. You may browse to a sub-folder in that location, and then click Save to save the entire email.

To browse to a new location, click Browse sites to select a site and browse to the required folder.

Click Save to save the document.

You must have permission to access the site.

Open a document

Open a document in your Workspace and open the HighQ app panel.

Select Browse documents to open a document from HighQ.

The open Workspace app must be able to open the selected file type.

You must allow your site to allow popups to open documents from HighQ.

Open Chrome settings and select Privacy and security

Open Site settings then Pop-ups and redirects. Make sure that Sites can send pop-ups and use redirects is selected.

You see a list of Favorite or Recent locations. Click an entry to jump straight to that location or select Browse sites. You may browse to a sub-folder in that location, and then click a file to open it.

If you make changes to the document, please remember to save the updated file to HighQ. 
Your changes are not saved automatically to HighQ when you close the browser tab.
