Import documents from Document Intelligence

'Import documents' provides an easy route to transfer files and related knowledge, including Thoughts and Facts, to a site in HighQ from already analysed files in Thomson Reuters Document Intelligence (TRDI).

The process creates mappings for imported Thoughts and Facts and also for AI assignments based on Document Types so that documents are then synchronised across both systems.

 

You can import a bulk selection of files directly from your Document Intelligence workspace in HighQ. Files are imported to a folder in the Files module, and the iSheet is updated with Thought and Fact values for the imported documents.

Shared bookmarks are used to save search criteria in TRDI, and are used to define the scope of the documents for import.

Configure a site with a TRDI Workspace connection

Please refer to Authorise and set up Document Intelligence integration to integrate your HighQ site with one or more TRDI workspaces, and then activate a workspace in your site.


Create a Shared Bookmark in TRDI  

In the TRDI Libraries page, use search criteria to retrieve the documents you want to import into HighQ.

After the import, delete unwanted files from HighQ without affecting the originals in TRDI.

Click Save Bookmark

Give your bookmark a name that is easy to identify, optionally add a description, enable Share with all users and then click Save

If you want to use a personal bookmark that already exists, click on the More actions (three dots) button next to the bookmark name and select Settings from the context menu: 

Enable Share with all users and click Save

Importing documents in the Files Module  

The Files module provides two options to import documents from TRDI.  

Upload options

Open a folder, click Upload and select Import documents from Document Intelligence,

The Import documents from Document Intelligence is only available if there is an active TRDI workspace configured for the site and when there is no other import process happening.

Only one import process can happen at a time.

Select a target folder.

If there is an active TRDI workspace configured for the site, the Document Intelligence imports section is available in the left navigation menu of the Files module.

Click Import documents to import documents to the root folder of the site.

 

Importing documents with shared bookmarks

Select the target folder and click Upload > Import documents from Document Intelligence.

A pop-up window opens and displays shared bookmarks from your TRDI workspace, including the name, who created/modified them and when, and a toggle to show/hide the description. Bookmarks are ordered by most recent, use the Search box to filter and sort the bookmarks.

If a bookmark is not in the list, check if Shared with all users is enabled for that bookmark in TRDI. If you make changes in TRDI in another browser window, click Refresh bookmarks to update the list. 

Select the checkbox for the shared bookmarks you need to import, then click Start import.

A Preparing import window shows the progress of the import process; HighQ first executes a bookmark search, stores a list of document identifiers, and then begins the download process. 

 

You can click Close to dismiss the window; the preparation continues in the background, or you can wait until the list is retrieved and then close the window. 

A notification displays the import status. Select See import details to open the Document Intelligence imports section.

This page allows you to review the processing status of files, including if the import was successful or failed. 

While an import is in progress you see a progress bar and can Pause or Stop the import if necessary. 

The default Imported tab shows a list of files being downloaded or that were successfully imported. Select Import failures to see a list of files where the import failed.

Refresh the browser window to update the page. 

The numbers in the Imported and Import failures tabs show the number of processing, successful and failed files.

To temporarily pause the import process, but retain the list of files for future processing, click Pause import

The screen refreshes to show the number of files in the list. 

Click Resume import to continue importing the stored list of files. 

Click Stop import to completely stop the import process and remove the outstanding list of files. Select Stop import again to confirm, or Cancel to resume the import. 

If stopped, the page shows all progress up to that point.

The progress bar shows 100% when the import process is completed,  

Imported files are now visible in the Files module, in the folder that you selected:

The Author column lists AI Hub as the Author, and Last modified lists the imported time and date.

The Imported and Import failures tabs

During the import process and when the import finishes, the tabs show the number of processing, successful and failed files.

A green Imported label in the Imported tab indicates the import was successful:

The red label in the Import failures tab indicates the reason the import failed, which can be 'recoverable' or 'non-recoverable':

There a several reasons why a file and its metadata fail to import, such as:

  • the file is too large for HighQ,
  • the file or related data could not be downloaded from TRDI when requested, or
  • the file type may be excluded from your HighQ instance.

In these cases, the failure is non-recoverable and the file is not visible in HighQ. 

However, if the import failed because the file is not a file type that can be 'Assigned AI', or because HighQ could not retrieve the Thoughts and Facts metadata for the file, then the file is recoverable. It is still added to the Files module but has no AI-derived data from TRDI.  

Ignored documents

If a document in TRDI originated from the same HighQ site, the import process ignores it.

If any document originated from, or has previously been imported into, a different HighQ site, and the document is treated as a new document in TRDI (by assigning AI with the same Document Type) then Fact values are copied and applied to the new document.
