Publisher Email Bounceback Management

The bounceback management area allows administrators to manage bounceback emails within Publisher, with more meaningful data. 

This will provide scalability for large volumes of data to be managed in bulk, including errors for reasons such as the organisation, domain or user does not exist. 

Please note that this is currently for the preference emails only. E.g. Daily, weekly, monthly and the alerter services

To access the Bounceback management section, navigate to your profile dropdown and click System admin:

The System admin screen is displayed. Within the System admin screen, navigate to System settings > Bounceback management:

Please note that the Bounceback management screen will only be available if it has been enabled by HighQ

Managing your email bouncebacks

Within the Bounceback management screen, you will have access to a list of all of the emails that have bounced back, along with the reason, the error code, the users name and email address etc.:

Please note that we have introduced a change to manage bounceback emails automatically as a proactive preventative method to stop sending spam emails to users that don't exist. By automatically 'pausing' emails sent to certain users, after 5 different attempts, when bounce back emails are returned and adding those users to a quarantine list, this temporary precaution will stop users being added to the block list. Users can then be removed from this quarantine list when applicable

You can also Filter this list by Email Type, Reason and Error code:

The email type includes: Preference email, Delegate email and Alerter service:

The reason includes Soft bounceback and Hard bounceback:

Please note that soft bouncebacks are things like out of offices, or holiday leave etc.

And Error code includes a list of all of your error codes:

Please note that the error codes are only shown for hard bouncebacks

Allowing you to easily filter through your bouncebacks and perform actions based on your filter criteria.

Additionally, you can click on the Reason and it will give you the full details of what that bounceback is:

Archiving users

Once you have set up all of your filtering parameters, you can archive the users, ensuring no more emails will be sent to them and reducing the amount of bouncebacks you receive. 

To do this, either select the Name check box in the table:

To select all users within your list. Or you can go through and individually select each user you wish to archive and select More Archive:

This will archive all of these users, removing them from any email lists.

 

Exporting the bounceback data

Finally, you can export the bounceback data to an excel spreadsheet, which will also include the Organisation field, enabling you to see which organisations have users that are no longer receiving emails.

To do this, click Export within the Bounceback management screen:

You will see the following message:

Once the exporting has completed, you will have access to all of the data within an excel spreadsheet.

We have made improvements to the layout for the bounceback tool, allowing for easier use.

Users will also now be able to archive a bounceback record that has been reviewed and discounted as being issued, and if the users aren't to be archived:

Please note that this is also possible to do as a bulk action

Users will also now be able to search between a date range to determine if any new bouncebacks have appeared within that date window:
