Categorise sites with Site purposes

Site purposes allow site admins to categorise sites and site templates with 'purposes', selected from a list. A system admin can select which purposes are in this list, either from a pre-defined set of standard purposes or from additional custom purposes.

Site purposes are available when a site or template is created, in Site summary reports, the list of sites and other site lists in HighQ. A site admin can select one or more of the available purposes for each new site, which allows you to audit (e.g. in the system site report) and understand what types of sites users create.

The system admin can set if purposes are required for a site, or if they are optional.

As of October 2023, Site purposes replace and enhance site Categories.

A list of standard purposes is available, and new Site purposes can only be created in System settings > Site purposes, allowing greater control and focus. As site purposes are limited to a defined list, they allow sites to be quickly identified and filtered, especially when there are many sites on an instance.

For example, if you need to remove sites from your instance; for example, if you have hit the storage limit on your licence, you can filter the list of sites to display as site purpose, e.g. data rooms (as these take up a lot of storage), and delete data rooms which are no longer active.

Click your profile icon and then select System Admin, System settings.

Click Site purpose to open the site purpose settings:

Required or optional

By default, purposes are optional when a site or template is created. However, a system admin can require that one or more site purposes are set for every new site. Select Required to enforce the selection of site purposes.

Site purpose list

The site purpose list provides a standard set of pre-defined site purposes.

If you do not require some of these categories, click the selection toggle to turn each site purpose off or on.

Hover over the question mark to see a description of the site purpose.

If you attempt to deselect a pre-defined purpose that is currently used on a site or template, a warning is displayed:

Click Confirm to turn off the purpose and remove the purpose from those sites.

 

Add new site purpose

You can add custom Site purposes to match the types of sites used on your instance. 

Type the new name in the Add new Site purpose field and click Add.

The new purpose is shown below the Site purpose list:

Click Edit to adjust the text or Remove to delete the purpose.

If you attempt to remove a custom purpose that is currently used on a site or template, a warning is displayed:

Either leave the default selection ('None') and Save to remove the purpose from those sites, or click the drop-down list to select a different purpose that will replace the removed purpose and then Save.
