Version 5.0 release notes

HighQ 5.0 is a significant release that combines capabilities from Collaborate and Publisher into a unified platform for the first time. In addition to unified user accounts, profiles and search across the platform, this release also includes the introduction of workflow and process automation as well as other major new features, improvements and bug fixes.

A full list of changes and enhancements are detailed below.

Please read through the highlights for Collaborate and Publisher carefully and be sure to test out the new features in the sandbox environment

Unified platform

  • Ability to connect a single instance of Collaborate and a single instance of Publisher into a unified platform - this is subject to a new installation/deployment of Publisher
  • Ability to use a single base URL for the platform to access both Collaborate and Publisher applications
  • Ability to unify the users, groups and organisations database so they are identical in both Collaborate and Publisher 
  • Ability for users to share their user profile data so it's the same in both Collaborate and Publisher
  • Ability for users to move between the applications without having to log in to both separately i.e. a shared session
  • Ability for users to search across all content they have access to in Collaborate and Publisher with a single query

Modules

Tasks module

  • Ability to apply custom metadata templates to tasks using an iSheet view
  • Ability to define a default task metadata view and custom views for each List in Admin > Tasks
  • Enable custom task metadata in Admin > iSheets > Edit iSheet > Task metadata template

Files module

  • Ability to enable G Suite integration for co-authoring files in Google Docs, Sheets and Slides
  • G Suite integration can be enabled in System Admin > System Settings > Open in G Suite
  • G Suite can be configured at site level in Admin > Files > Enable Open in G Suite
  • Ability to export file audit history to Excel in Files and My files
  • Ability to create a partial Excel export from Index view in the Files module
  • Ability to select 'Notify me when recipients download, view or print file' when using 'Send a file' from My Files
  • Ability to bulk download Q&A attachments from the Attachments folder in the Files module
  • Custom file metadata views are now only shown in folders and on file previews where they have been applied
  • Custom file metadata can now be edited when viewing file attachments from all other modules
  • Document viewer upgraded with rendering and performance improvements

iSheets module

  • Ability to add negative conditions in the column and view configurations:
    • is blank
    • is not blank
    • does not contain
    • does not begin with
  • Ability to enable custom task metadata in Admin > iSheets > Edit iSheet > Task metadata template

Wiki module

  • When the Microsoft LUIS engine is enabled in AI Hub, there is an option to auto-suggest tags for wiki pages

Workflow

  • Introduced a new Workflow module, which can be enabled by HighQ on your instance
  • Ability to create workflows and rules in Admin > Workflow management when enabled
  • Ability to configure Triggers for iSheets and Files modules with conditions based on metadata
  • Ability to configure Actions for Events, Tasks, Email and Document Generation with dynamic variables

Document automation

  • Introduced a new Word add-in for document automation template creation
  • Ability to easily add associations and drag and drop variables with conditions, loops and dynamic tables
  • Ability to validate data associations and check for errors in the templates

AI Hub

  • Ability to enable and configure the LEVERTON AI engine
  • Ability to enable Microsoft Language Understanding (LUIS) AI engine for wiki page tag suggestions

Site admin

  • Ability to mark an organisation as a bidder during the Add user process
  • When Make bidder site is enabled, 'Seller team' has been renamed to 'Data room team'
  • Placeholder files are now excluded from file counts on the Admin > Site summary page

HighQ Drive

  • Ability to enable On demand sync in HighQ Drive for Windows in Preferences > Advanced
  • When enabled, you can right-click on a folder in HighQ Drive and choose to make files:
    • Available offline
    • Available online only
  • Files that are 'Available offline' are synced to your machine as normal
  • Files that are 'Available online only' are not synced to your machine and are downloaded on demand

System reports (Collaborate)

  • Introduction of five new System reports:
    • My files report
    • Site summary report
    • User summary report
    • User login report
    • Login failure report
  • System admins can access the new reports via their Profile dropdown > System reports

Publisher

Data visualisation

  • New KPI Card chart type when inserting a data visualisation panel
  • KPI cards allow you to visualise the sum, average or count a single data point
  • For all chart types, ability to aggregate and group dates by day, month, quarter or year

Content experience

  • In-site navigation can now be used not only for dashboards, but within the Publications, Events and Videos modules in Publisher

System audits

  • Key audits and reports within Publisher have had a redesign to make filtering for specific information quicker and easier
  • Audit performance has been significantly improved for larger audit reports

APIs (Collaborate and Publisher)

  • Changes to various Collaborate APIs including Files, Tasks, Events, iSheets, User profiles, Activity and Messages
  • New Publisher APIs introduced for Users, User Groups, Organisations, Organisation Groups, Exception domains, Metadata, Search and People directory

Other changes

  • License limits are now enforced by default in Collaborate. As of version 5.0 license limits will be automatically enforced once an instance reaches its configured storage or user limit. Once limits are reached, new sites cannot be created. Clients should contact their Client Manager or HighQ Support if this should happen.
  • Default content templates for Publications, Events and Videos have been modified to improve display consistency between content types in Publisher. This will be available by default for all new modules, but all existing modules will retain their current templates to avoid unplanned display issues.
  • Improved workflow for copying content from one module to another in Publisher
  • Minor icon changes to make icons identical between Collaborate and Publisher
  • Instance navigation has been renamed from 'Navigation' to 'Global Navigation' in Publisher
  • The release also contains a number of performance improvements and bug fixes across the platform
