If you have access to an iSheet with email alerts enabled and want to subscribe, navigate to More actions > Email preferences:
The Email preferences screen will appear:
Setting email preferences
First, select how often you would like to receive alerts: immediately upon a triggering event, as a daily digest and/or as a weekly digest. By default, no checkboxes are selected and you will not receive any email alerts.
Second, below the subscription frequency option there may be one or more columns that can be used as filters. The site administrator who configured the iSheet will choose whether to make any such filters available, and each user can determine under what circumstances they want to receive an email alert. You can decide whether to receive alerts about changes in certain countries (for example, just Canada and France) or about changes in any of the listed countries. If no values are selected, the user will not receive any alerts.
Triggering an email alert
You will only receive email alerts under the following circumstances:
- A new iSheet item is added or an existing item is modified. Deletions do not trigger alerts.
- You have permission to view the item after the item is added or modified.
- The filter conditions you selected are satisfied after the item is added or modified. For example, if a new item is added about a labor law in Canada and you have subscribed to Canada items, you will receive an alert. But, if that item is later modified and the country is changed to USA, you will not be notified of the change, because the item no longer satisfies your subscription criteria.
- When a record is added or modified, the user entering the information has left the notification at Respect user preferences or has changed the setting to Send an alert now to every subscribed user. If Supress email alerts is selected, alerts will not be sent:
Example of an email alert
An immediate iSheet email alert will look like the following:
The new or updated item information will appear in a table format. This is virtually identical to the daily or weekly alert, which could list more than one item.
Email alerts for file and folder metadata iSheets
Email alerts can also be configured for file and folder metadata iSheets, just like for any other iSheets. These alerts are configured in the same way, but alerts will not be sent in the following situations:
- When files are bulk uploaded, immediate alerts will not be sent out as there could be many individual emails, but the file will still be included in daily and weekly alerts
- When new folders are added, immediate alerts will not be triggered, only daily or weekly digest alerts
In many cases, your iSheet email alert preferences may have been set for you by a site administrator. If that is the case, it may be best to check with them before setting or changing your own preferences. For more information on how the email alert is configured please see the articles about Email Alerts.
If you have subscribed to email alerts on an iSheet and are not receiving them, check in with your site administrator to determine if the email alerts and/or your email preferences are configured correctly.
