What are file and folder metadata iSheets?
iSheets may be associated with the files module by creating file and folder metadata iSheets. These iSheets allow additional custom fields to be added to files and folders.
In the example above, the file metadata iSheet contains a number of columns, including:
- "Document type" - a mandatory choice column with an image associated with each choice option,
- "Matter ID" - a single line text column, and
- "Date" - a date and time column.
A view of the file metadata iSheet is configured to display these columns along with the file column, and the "Client 1" folder has been configured to display this view (More actions > Edit details > Settings > File view).
As of version 5.6, you may add system-generated File status columns to a View, such as approval template status (approved, rejected or awaiting approval), Contract Express status (ready or incomplete), or DocuSign signature status (sent for signature or signed).
Associating an iSheet with files or folders is useful for tracking and displaying additional information in the files module, and can help users find relevant files more easily. As the number of files and folders in a site increases, users can search and filter using iSheet metadata to locate what they are looking for.
Only one file metadata iSheet is allowed per site. Likewise, only one folder metadata iSheet is allowed per site. Both a file and folder metadata iSheet can be associated with the same site, however the same iSheet cannot be used for both.
Identifying metadata iSheets
As of May 2023, metadata iSheets are identified in lists of iSheets with a prefix:
- [DM] represents a file metadata iSheet ('Document Metadata')
- [FM] represents a folder metadata iSheet
- [TM] represents a task metadata iSheet

Adding files and folders with metadata
Once a file metadata iSheet is created, an association is made between the iSheet and the site files. When a user uploads one or more files, the user may fill in these custom metadata fields (the iSheet columns) by clicking the Metadata tab:
Similarly, if we create a folder metadata iSheet, when new folders are added to the Files module, a user can fill in the custom metadata fields by clicking the Metadata tab:
If you bulk upload files and folders to a site via Upload > Zipped files and a file metadata iSheet is enabled, you may select a File View to be applied to all folders in the bulk upload. If no view is selected, the default view will be applied.
Train HighQ AI from a metadata iSheet
You can Train HighQ AI from a metadata iSheet. Open the metadata iSheet, and select the records that will be used to train the AI, then select Actions, Assign AI and Train HighQ AI.
