HighQ Drive for iOS

Overview

Get the most from the HighQ Drive for iOS app.

You can download the HighQ Drive app from the App store on your device.

Logging into the HighQ Drive App

After you download and open the HighQ Drive app, the login screen is displayed:

The appearance of the app may change if Dark mode is selected on your device.

Enter your instance URL into the Enter your instance URL field and tap Next. If you are unsure how to find your instance URL, you can tap How do I find my instance URL? which displays information on how to find it:

Swipe left or tap Next to display more information or tap Sign in to return to the sign-in screen.

After entering your instance URL, the following screen is displayed:

Enter your Email address and Password and tap Log in. If you have forgotten your password, tap Forgot password? to reset it.

After you have logged in, you are asked to allow HighQ Drive to access your account.

If you decline, you will be logged out and returned to the login page.

After you allow access to your account, you are asked to choose, and then verify, a passcode.

   

The app refuses any passcode deemed insecure.If an Invalid passcode message appears, tap OK and try a different passcode.

Navigating in the app

Tabs are shown at the bottom of the screen; when you open the app the Recent tab opens first:

  • Settings are also available on certain screens.

Tap a tab to open that section of the app.

 

Recent tab

The Recent tab displays recently viewed or changed files and folders.

Tap the three-dot icon on the right of the file or folder name to open the More Actions menu:

In the More Actions menu, you can:

  • Share Link - This will generate a link and add it to your clipboard, allowing you to paste it into a message and send it to another user or contact.
  • Add to favourites - add the file or folder to your favourites list.
  • Make Available Offline - This makes a file available to access offline. Please note that folders cannot be made available offline.

All synchronised or offline files are encrypted to the AES-256 standard. When you access a document in HighQ Drive for iOS, or via the Apple Files app, the file is decrypted automatically. 

  • Rename - This allows you to rename a file or folder.
  • Move - This allows you to move a file to another folder, or move a folder to a new location.
  • Copy - This allows you to copy a file or folder and choose the location of the copy.
  • Download copy - This allows you to save a copy of the file to the local storage on your device.
  • Delete - This will delete the file or folder.
  • Cancel - Returns to the original menu.

As a Smart folder is a virtual container, if a file in a Smart folder is deleted, renamed, copied or moved, the action is performed on the actual file in the original folder, rather than only in the virtual Smart folder.

 

Browse tab

The Browse tab displays all folders and files available on your site or sites. 

Tap My site to open the My site section, or the Recent or Favourites tab to open a list of the relevant files and folders.

To add a new folder or file, upload from your library or take a photo or video tap the + icon.

Use the More Actions icon on the top right of the screen to change the sort by date or make a file or folder available offline

If your instance supports file relationship tags and metadata, they are displayed in HighQ Drive,

Content display options

The top of the screen provides options to change how the contents are displayed.

  • Use the icon on the top-left of the screen to change the sort order or make a file or folder available offline

  • Tap the 🔍 icon to filter the current view. Enter text to show matching items in the view.

  • Tap the grid icon to toggle the view to show either a grid of icons or a list.

  • Tap the ⋮ icon in the top-right corner to add a new folder or file (upload from your device or take a photo or video) or scan a document.

  • As of November 2023, enter text in the search box above the content tabs to search for matching results from all sites you can access.

   

This allows you to find all matching documents across multiple sites and folders. 

Select the Files or Folders tab to filter results; select All to see all items.

 

Upload file

You can upload a file from iCloud or other applications installed on your device.

Click Recent files to view previously visited locations.

Tap  to manage the locations seen in this list.

Select a location to display a selection screen. e.g. select Upload from Library to display your device's photo libraries:

Tap the file you wish to upload.

If you upload a file that already exists in the target folder, then the upload follows site settings and either:

  • Create a duplicate copy of the file. 
  • Add a new version of the file. 

Or ask you for your preference (i.e. add new version or a new copy). 

Create Folder

Enter a name for your new folder and tap Create. Access the created folder in the Browse tab.

Smart folders

HighQ Drive supports Smart Folders. Smart folders are denoted by a folder icon containing a cog.

Smart folders behave like standard folders. You may view, favourite and make a Smart folder accessible offline.

Note that you can only create a new Smart folder in the HighQ platform on a desktop browser.

As a Smart folder is a virtual container, if a file in a Smart folder is deleted, renamed, copied or moved, the action is performed on the actual file in the original folder, rather than only in the virtual Smart folder.

Take a photo or video

Click this option to take a photo or a video, then select Use photo to upload it, or Retake to take a new photo or video.

Scan document

Click this option to take a photo of a document and save it as a scan, with the ability to scan and add a signature. 

Sort by name or date

By default, this option sorts your files and folders by name. Folders will be displayed first in the list, then files.

If your list is already sorted by name, the option will be to Sort by Date.

Tap Sites to view a list of sites you have access to. You can navigate to different sites from this list.

Offline tab

If you need to access a file or folder when your device does not have a connection you need to plan ahead. The Offline tab allows you to view all files that have been made available offline.

While you have internet access, tap the Make available offline option from the More actions menu for the file or folder (in the Recent or Browse tabs).

A sync badge indicates an action is in process. A downward arrow indicates that files are available locally on your device.

Tap the Offline view to show synced files or folders. 

If you tap a folder in the offline view and your device has a connection, HighQ Drive retrieves and updates the latest folder contents - this ensures folder contents are as recent as possible. If you tap a folder in the offline view and your device does not have a connection, HighQ Drive shows the last locally updated content, although this may not necessarily match the contents of the live folder.

In the More Actions menu, you can Remove from Device to remove a file that has been available offline.

If you tap Remove from device for a file in a Smart folder a message is shown. If you choose to make the file available online only (i.e. un-sync from device), then it is removed from this and any other offline smart folders (only one offline copy of a file can be held on the device). 

Favourites tab

You can save files, folders and sites as favourites. Favourites are denoted by a small star located next to the item:

To add a file, folder or site to your favourites list, click More actions > Add to favourites:

Tap Favourites to view all your favourite items.

Enter a term in the Search box to find specific items. Select Sites, Folders or Files to filter the list by type.

Browsing favourite sites

Tap on a site to open the site in Browse view. Browse the site normally, the contents of the entire site are available, not just favourited items.

If the site is restricted (password-protected, 2FA enabled, terms and conditions protected or IP restricted), a lock icon is displayed next to the site. If you open a restricted site, a restricted site message is displayed, describing the restrictions applied to that site. If you choose to continue, the web-view opens to allow you to unlock the site: 

 

Tasks tab

As of November 2023, you can view current tasks from a selected site. You can then open a task to change the task status and any reminders.

Tap Select a site to change the current site. All tasks on that site are shown in the list and the pie chart shows the status of all selected tasks.

Filter the list of tasks

You can filter the list of tasks from a site. The pie chart also updates to show the filtered selection:

  • Tap Select a task status and select one or more statutes to only show tasks that match the selection.
  • Tap Assigned to me to only show tasks that are assigned to you.
View a task

Tap on any task to view task details and change the status.

Tap the current Status to see a list of available options.

Select a new status, or tap Cancel to return.

Tap Reminder to view or change reminders set for the task.

Reminders are sent by the HighQ instance, not the HighQ Drive app.

 

Settings tab

In the Settings tab, you can view system information such as used storage and also log out. Tap your name to open the following page:

This page shows the instance URL you are logged in to and the user name you are using. Tap Logout to log out of the app.

Tap Settings to return to the settings screen:

  • Local storage shows how much storage you are using on the device.
  • Enable Local time zone to adjust times and dates to match your local regional time, as set on your device.  
  • Offline File Auto Update - any changes made to offline files and folders in Collaborate or the HighQ drive app are applied to the files on your device. 
  • Download over 10 MB - if this option is enabled you can download files that are over 10 MB in size. If this option is not enabled and you try to download a file 10 MB, a warning message is displayed (see below).  

This option only appies to downloads over mobile data.

Passcode Lock - You may change your passcode or activate Face ID

Tap Default Share Settings to display the following screen:

You can set default share settings by changing who it is Accessible by, what Download rights the user accessing the file has and defining when the Link expires.

In the settings screen, you can also see Legal & Privacy information, which Version of the app is installed and finally, send Feedback to HighQ.

As of version 5.3, you can share a link with a password from the mobile app.

Set Accessible by to Anyone with the Password, then Set password under Share link password:

Enter the password and click Save. Now when you share the document, a recipient must know the password to view it.

You can also share links with custom expiry dates in share settings:

Save to HighQ Drive

Photos or files on your device, in iCloud or other applications, can now be saved directly to your HighQ Drive. The export option is displayed at the bottom of your device when viewing files or photos. Select the files or photos, then tap Save to HighQ Drive; you can then select where to upload the files. 

                     

Troubleshooting

Below is a list of settings that, if enabled, will prevent the browse tab from displaying information:

  • If the Hide this site in HighQ Drive and Office Plugin checkbox within Site > Admin > Site settings > Security is not selected
  • If the site is password protected via Site > Admin > Site settings > Security
  • If two-factor authentication is enabled on the site via Site > Admin > Site settings > Security
  • If the site has Terms and Conditions applied via Site > Admin > Site settings > Terms and Conditions
  • Any IP restricted sites via Site > Admin > Site settings > Security
  • If the site has Document Workflow enabled via Site > Admin > Module settings > Files
  • If the site has Check In / Check Out enabled via Site > Admin > Module settings > Files
  • If the site has DRM (Digital Rights Management) enabled via Site > Admin > Module settings > Files
  • If the files module is disabled on the site from Site > Admin > Site settings > Modules

Access to restricted sites

You can access restricted site types through all mobile and desktop apps.

These restricted sites are:

  • IP restricted sites
  • 2FA secure sites
  • Password protected sites
  • Sites that require a user to accept terms and conditions

These sites are shown with a padlock icon:

Selecting a restricted site will show you what exact restrictions are placed on the site. For example:

The above site is password protected and has terms and conditions attached to it. 

Click Continue

A new screen will be displayed asking for a password for the site. Enter this site password and click Enter.

You will now be able to see the site contents:

Multi-Select / Bulk-Action support

You can select up to ten files at a time and perform the following actions:

  • Copy multiple files from one folder/site to another
  • Move multiple files from one folder/site to another 
  • Delete multiple files
  • Sync/un-sync multiple files to the local device (make available offline)
  • Add/remove multiple files as favourites

To use multi-select, click More actions (three dots):

Check circles will be displayed next to each file, tap to select up to ten files. Then tap the action to perform on all of the selected files:

View history and metadata for a synchronised file

You can view selected metadata and version history, audit history and sub-tasks.

Only general created/modified dates, like/comment count, favourite status, and task metadata are available.

To view available metadata, navigate to a view that shows files (e.g. Browse, Recent. Offline of Favourites):

Tap the More Actions (three dots) button next to the filename:

In the actions menu, select File Information

Tap the arrow next to the Versions label (which also shows the number of versions) to show a summary of all saved versions of the document, including version number, added date, author and any notes added to a specific version: 

As of April 2023, you can Restore old versions so they replace the latest version, or permanently Delete old versions.

A thumbnail of the file is shown at the top of the screen, tap Preview in a version tile to open that version of the document: 

Tap the arrow next to Audit History from the file information view to display a summary of all changes made to the document, including the name of the person who made the changes, the nature of the change/action, the related action date and the originating IP address from where the change was made: 

View tasks related to a document

To view sub-tasks related to a particular file or document, tap the arrow adjacent to Tasks from the file information view:

Tap on any of the tasks to show the Task Details screen. Available sub-tasks are displayed under the Sub-Tasks title:

The status of tasks shown in the main tasks window and the status of individual sub-tasks can be updated to reflect their progress: 

 

Version history

To view the version history of a file, navigate to a view that shows files (e.g. Browse, Recent. Offline of Favourites):

Tap the More Actions (three dots) button next to the filename, select File Information and then tap the arrow next to the Versions label: 

HighQ Drive displays a summary of all saved versions of the document, including version number, added date, author and any notes added to a specific version.

To view longer notes, tap more at the end of the Note summary.

View a version

Tap Preview to view a version of the file. 

Restore an earlier version

As of April 2023, you can restore an earlier version so that it becomes the current version. This may be necessary to replace an unintended update.

The previous 'current' version is not replaced or deleted, as the selected version is restored as a new version.

Open the Version history screen; scroll to the version to be restored, then click More actions and Restore.

New versions created from a restored version include a description to show which version was restored, i.e. 3 Restored from ver. 1.

Delete an earlier version

As of April 2023, you can delete an earlier version of a file. This may be necessary to remove content for compliance.

'Update file' and 'Delete file' permissions are needed to delete a version.

The version is removed permanently and cannot be restored.

Open the Version history screen; scroll to the version to be restored, then click More actions and Delete.

You cannot delete the current version of a file in the Versions screen.

Click Yes to confirm you want to delete the version.

Deleted versions are still listed in the Version history screen, but include a description to show the version was deleted. 

 

Customisable swipe actions

To speed up your workflow, use swipeable key actions on your files. By default, swipe left on a file to reveal the Share link quick action:

Change swipe actions

Navigate to the Settings menu and select Swipe actions:

You can customise both the left and right swipe actions. The following actions are available:

  • None
  • Share link
  • Make available offline
  • Add/remove favourite
  • Rename
  • Move
  • Copy
  • Delete

View document thumbnails in grid view

You can view your documents in grid view. Navigate to your files in the app and tap More actions (three dots):

Select Switch to Grid view. The list of files will then be re-rendered, showing thumbnails for all available file types:

Please note that thumbnails are cached so they don't need to be generated each time you switch to the grid view. However, for performance purposes, when you close this screen, then return, the list view is displayed by default. 

Show native OS dialogue when sharing files

If you share a link, it opens the native share options. You can choose to directly paste the link into any relevant apps on your device, including the option to copy it to the device clipboard:
