June 2023 updates

Overview

HighQ June 2023 Collaborate updates will be applied to customer-facing sandbox/UAT instances over the weekend of the 3rd/4th of June, with production deployments taking place from the weekend of the 10th/11th of June onwards.

Use case overview June release

Use cases: CLM, Document Approvals

You can now enable the one click approval option directly from your Outlook. With this option, the notification you get to approve a document now adds an option to approve or reject directly form the email, without having to go to the browser approval options. HighQ Drive and Office Plugin: When your sites are set-up with the document approval functionality those are now also supported to use in combination with the HighQ Drive and Outlook/Office plugins

Use cases: Transaction Management, Legal Project Management, Case Management

When you are using the Task module, for your closing or DD Reviews, Litigation Project Management or Case Management the Main Task & Sub tasks are now connected, which means  the status for a task is changed when the following scenarios occur:

• Auto Complete the parent task when all sub tasks are completed
• Change status of the parent task back to In Progress when a new sub task is added

This will saves time managing more complex Task & Sub task work and will help to manage the task lists better as you cannot forgot to complete the main task when all sub tasks are completed

Use cases: CLM, Matter Management Matter intake, Client Portals

A new panel now exists at the System level dashboards to show files from the files module on your dashboard. Files can be shown via a folder or smart folder from any selected site. If you would like to know more about setting up system level dashboards, click here. This is a great way to show self serve dashboard policy instructions or intake instructions for client dashboards.

Use cases: All

Users can now create their own iSheet views without being a site administrator, this gives end users an opportunity to create their own views of the iSheet data.

Use cases: All where search is involved

Users can easily download multiple files selected directly from a search results. This is helpful to quickly get documents downloaded, deleted or moved directly from the search in the HighQ files container. Search now provides an option to include the extension in the search query (file types are now indexed) so Purchase agreement.docx will result in a list of word documents based on your search query.

Updates for users

These updates affect normal users and the user interface:

Document approvals

• You can now approve a document directly from the approval email, and the email shows the current approval status ^{ON REQUEST} 
  Please note that this feature is only available upon request via our HighQ Support Team

Search

• You can quickly download selected files from a global search as a single zip archive
• You can specify a file extension in the global search field to rapidly filter results for that file type

Contract Express

• Troubleshooting when document generation fails is now easier with the help of more informative error messages

Files

• The HighQ Office Online integration can now use add-ins from the Microsoft Marketplace

Tasks

• You can now choose to complete the parent task when all sub-tasks are completed

iSheets

• You may create iSheet Views for your own use, to focus on data specific to your own needs and tasks

Updates for site administrators

These updates affect site administrators:

Contract Express

• Files are submitted to the approval process if they are created and uploaded to a site that uses File approvals

Workflow

• You can now incorporate the Triggering File Link variable into additional fields that have rich text enabled. This includes multi-line text columns for Add iSheet record and Update File Metadata, as well as descriptions for Add Event.

Publisher

• Administrators will now be able to double-check which pieces of content are to be archived automatically and when
• You can now filter for more specific results when generating a user report, including status and organisation
• We now support RSS version 2.0.11, but please be aware this will not impact existing RSS feeds
• We have added additional metadata labels displayed for slider panel to allow for users to see more information relevant for them​
• We have improved the layout of the comparison builder, to ensure that when 3 or fewer countries are selected, the width is automatically adjusted to ensure all information is shown without the need to scroll from left to right

System Dashboards

• We have introduced a new Dashboard panel - Files. This panel will allow administrators to easily display specific files to users accessing the site. For more information, click here

iSheets

• You can view deleted records stored in a Deleted items view across the entire site

These updates affect System administrators:

Files

• You can configure the HighQ Office Online integration so users can access your selection of add-ins from the Microsoft Marketplace

Updates for HighQ apps

These updates affect HighQ apps for mobile and desktop:

HighQ Drive

• HighQ Drive is now able to submit files to a site that requires approval (Office plugin, Windows and macOS)

Performance improvements

Our June 2023 release implements the following performance improvements:

Dashboards

• Downloading documents, audits and reports is now 2x faster

Files

• Checking storage quota limits is now 5x quicker
• API responses include 'Require approval to add files to folders' if this is set in Files settings
• Retrieving document metadata versions is now 5x faster
• Payloads of webpages are now significantly lighter, resulting in quicker loading times for every page
• Performance has been improved when inserting documents into databases
• Uploading batch documents is now 10% quicker
• Retrieving eSign audit reports now takes seconds rather than minutes
• Retrieving folder lists is now 33% quicker
• Syncing change activity now occurs in almost real time
• Creating blocking sessions is now executed in seconds
• Navigating tree actions has seen a significant improvement, down to seconds from minutes

• Retrieving recent alerter bulk upload documents is now more than 5x faster

iSheets

• Advanced search for multi-line text column is now 4x quicker
• Retrieving iSheet attachment column data is now 5x quicker
• We have improved the user experience by introducing lazy loading for image columns in iSheet grids and the image libraries
• Searching multi-line text is now up to 8x faster

• Retrieving item data in CSV files is now 62x faster

Monitoring

• Improvements have been made to utilise database connections when downloading documents

Reliability

• Unnecessary email traffic on production email servers has been reduced by moving cache inconsistency notifications to logs instead of sending error emails

Workflow

• We continue to modernise our Workflow module for users, ensuring future scalability

Notifications

• Retrieving notifications is now almost instant

Admin

• We have introduced User Avatar lazy loading, which improves server sider resource utilisation

May 2023 updates

Overview

HighQ May 2023 Collaborate updates will be applied to customer-facing sandbox/UAT instances over the weekend of the 29th/30th of April, with production deployments taking place from the weekend of the 6th/7th of May onwards. 

There are no HighQ Publisher updates this month.

Feature release highlights this month

This month's updates include:

• Pending Google approval - The new HighQ add-on for Google Workspace lets you work directly from Google Workspace with your legal and corporate legal use cases. It allows you to:

  • Save a message from a Gmail inbox to HighQ

  • Save an attachment from a Gmail message to HighQ

  • Add a link to a document/file in HighQ to an outgoing Gmail message

  • Edit documents from HighQ in Google Docs, Google Sheets and Google Slides

• The description of a document template shown in a HighQ dashboard or during the document template creation process is now automatically updated when you change the description in Contract Express

• The 'use the name of the top template, even when it produces no document' setting in Contract Express ensures the name of created folders reflect the name of the top template

• When duplicate file detection is enabled, you can now choose to skip all duplicates

Updates for users

These updates affect normal users and the user interface:

Files

• You can now choose to skip all duplicate files while uploading multiple files

iSheets

• iSheet alerter emails are now sent only for records that were updated up to 90 days in the past

AI Hub

• When you confirm facts in Document Intelligence, you only need to refresh the iSheet in your browser; you no longer need to use 'Refresh AI'

Updates for site administrators

These updates affect site administrators:

iSheets

• Metadata iSheets (folder, file or task) are now highlighted with a prefix for easy identification

Workflow

• You can now use a 'site name' variable to insert the site name into generated emails and descriptions

Contract Express

• 'Computables' (variable output) from Contract Express are now mapped to a date column if the output is a date, a number column if the output is a number and a multi-line text column for any other computable variable
• The name and description shown in HighQ for Contract Express templates are now updated if the template name or description is changed in Contract Express
• Contract Express DocAuto now correctly follows the name setting in Contract Express when creating a set of documents

AI Hub

• The AI Hub now receives notifications when a user 'confirms facts' in Document Intelligence, the user no longer needs to 'Refresh AI' for the whole iSheet or for an individual row
• Update notifications are no longer sent for a file on Document Intelligence if they are not required by the AI Hub (i.e. files or folders were removed from HighQ, the AI assignment was removed, or Document Intelligence was removed from a site or instance)
• The handling of job status in Kira has been improved for easier troubleshooting and to reduce unnecessary API calls
• Enhanced support in Kira for nested folders, and if HighQ folder names contain characters that are not supported by Kira, they are replaced with an underscore

• iSheet alerter emails are now sent only for records that were updated up to 90 days in the past

Google Workspace add-on

• Pending Google approval - The new Google Workspace add-on allows you to file emails, attachments and files directly to HighQ, from your Gmail inbox, Google Docs, Google Sheets and Google Slides.

Performance improvements

Our May 2023 release implements the following performance improvements:

Files

• Increased reliability when generating PDF documents
• Caching and processes for file storage are now more efficient
• Exporting ‘access by user’ reports is now 11x faster

• Recurring sync of data now occurs almost instantly

iSheets

• More efficient alerting reduces the load on iSheets
• Searching for content in user-defined link columns is now 40% quicker
• Processes when adding or editing iSheets are now twice as fast

• Daily and weekly alerter emails are now processed over 60% faster

Q&A

• Listing filters on a Q&A page is now 8x quicker

Search

• Retrieving all documents for version indexing is now 17x faster

Sites & Templates Lists

• Performance has been improved when navigating dashboard site lists by removing additional calls
• Retrieving site and templates list performance has been improved

Workflow

• During periods of instability in the system Workflow messages will no longer be lost and actions will always execute as expected, regardless of any connectivity issues

April 2023 updates

Overview

HighQ April 2023 Collaborate updates will be applied to customer-facing sandbox/UAT instances over the weekend of the 1st/2nd of April, with production deployments taking place from the weekend of the 8th/9th of April onwards. 

There are no HighQ Publisher updates this month.

Feature release highlights this month

This month's updates include:

Contract Lifecycle Management and Document Automation

• A Basic user can now start to fill in a document questionnaire, save it and return to it later
• Dynamic 'other' choices in a questionnaire are now stored in the output iSheet and are available to use in workflows and data viz
• When approval templates require multiple document approvers, the audit trail now shows all approvers

Legal Project Management, Transaction Management and Litigation

• Quickly see which tasks are most urgent in card view, based on their due dates 

Additional improvements

• Set the default start of the week in the calendar picker to support regional differences
• Save HighQ Form settings and styles in solution templates. Add them to your legal solutions, legal intake, etc. in order to rapidly replicate and deploy sites

These updates affect normal users and the user interface:

iSheets

• You can now drag and drop when uploading files to an attachment column

Search

• Users now have a more coherent search experience as search terms are now retained when they switch from a global search to an advanced search and vice versa

Contract Express

• Improved credential handling now means you are logged in automatically when generating documents; avoiding error messages and repeated log-in processes
• Basic users can now update and edit saved Contract Express questionnaires, without the need to complete the whole questionnaire again to generate the correct document

• You can now sort your tasks when in card view, by due date to help manage your priorities

These updates affect site administrators:

iSheets

• Preserve user anonymity by selecting Site Groups for User Lookup columns instead of selecting individual users
• The Output iSheet can now store the complete range of answers from Contract Express including answers provided in an 'Other' column

Contract Express

• Contract Express can now capture answers provided in an 'Other' column to store the complete range of answers in the Output iSheet
• You may now configure a Contract Express template so that when it is used in a site template it links to the original iSheet (as an external iSheet) when a new site is created
• Empty template categories are not displayed when browsing for Contract Express templates

• File approval audits now list approvers for all steps in the approval process 

Solution templates

• Form settings, layout and styling for HighQ Forms are now included in site templates

Workflow

• Site administrators can now search the list of workflow rule variables when creating rules, saving them time

AI Hub

• You can now see the status of Document Intelligence workspaces in the Files module
• You can now manage iSheet or folder connections to Document Intelligence when the workspace is not available

Performance improvements

Our April 2023 release implements the following performance improvements:

Data Visualisation

• Loading times for fusion charts are now twice as a fast

Files

• Retrieval of folder permissions is now over 20% faster
• Listing types of documents within a site is now 70% quicker
• Searching content across multiple areas has seen a significant improvement and is now almost instant

• Retrieving group folder access lists now occurs in near real-time

Tasks

• 'My Tasks' now load almost instantly
• Listing all site tasks is now 10x quicker

• Retrieving task lists now occurs almost instantly

iSheets

• Loading iSheet grids when searching document metadata is now almost instant
• Retrieving auto-suggest data in lookup columns is now 9x quicker
• Grid rendering performance when a user searches a column is now 6x faster

Sites

• Fetching site lists when the user inserts a macro is now 38% quicker
• Exporting site summaries is now twice as fast

Reports

• Retrieving login reports by organisation is now 2x quicker
• Calculation column reporting is now 3x as fast

As part of our quarterly release schedule, we support the following languages:
