Add your own custom views to an iSheet

As a standard user without additional admin permissions, you can create up to five custom iSheet Views for your own use; this allows you to focus on data specific to your own needs and tasks. 

Your own custom views may not be shared with or accessed by another user.

Custom views are based on existing site-level views and user permissions; they can include only columns or records that you have permission to view from the source iSheet.

A custom view can only include columns that the user has permission to see (managed with views or column permissions)

Site admins: If there are columns that should not be visible to a user please ensure Allow all columns in custom view is not selected in iSheets settings.

Alternatively configure appropriate iSheet, View or column permissions to restrict access to those columns

Your custom views are available when you:

  • browse any iSheet (including metadata and output)
  • create a document from a Contract Express template that is linked to an iSheet

Your custom views are not available:

  • in the admin module
  • in site navigation options
  • for data visualisation
  • in 'Insert link' options
  • if the file metadata view is applied to folder settings by a site admin
  • in any site admin settings

 

Creating your own custom view

You must have access to an iSheet configured with a View.

Open the iSheets module and select an iSheet.

Select the Views drop-down menu, and then Manage views:

Alternatively, select the More actions icon for the iSheet, then Manage views:

The Manage views panel opens:

Select the name of a view to see a list of the columns in the view. You may select a site view or a custom view to use as a source for your new custom view.

Select Duplicate view.

Alternatively, select the More actions icon for the source view, then Duplicate:

The Edit view panel opens:

  • Click the delete icon to remove a column from your view
  • Click and hold the handle (6-dot icon) to move a column in your view (or select More actions and Move up or Move down)
  • Select Add column to see a list of columns you have previously removed from your custom view. Select a column to restore it to your view

Type the name of a column in the Search box to filter the list of deleted columns:

Click Save to keep your changes.

 

Your custom views

Your custom views are displayed at the bottom of the Manage views panel.

No other user can see your views and you cannot share them.

Custom tag identifies your custom views:

Changes to the source iSheet

Your custom views are deleted if the source view or iSheet is removed, or if your permissions change and you no longer have access to that view or iSheet.

This also applies to individual columns in your custom view; if columns are deleted from the source view or your permissions are removed, the columns are also removed from your custom views.

If a source element (iSheet, view or column) is later restored, custom views based on that element, or individual columns in a custom view, are also restored.

 

Using your custom views

Your custom views are added to the bottom of the Views drop-down menu on the iSheets page.

Select and use your custom view as you would with a site-level view.

 

Edit a custom view

Only you can edit your custom views.

Select the Views drop-down menu, then Manage views. Select the name of the custom view to edit.

Make changes to the view name and the list of columns as required, then click Save.

 

Delete a custom view

Open the Manage views panel and select the More actions icon next to the view; select Delete, then Delete view to confirm.

 

Custom views in solution or site templates

Custom views may be included in internal solution (or site) templates:

  • For internal templates
    • You must select Keep site users when a template is created to include custom views for each user
  • For external templating
    • Users are not included in external templates; as such, custom views are also not included
