Manage AI Hub settings in Admin

As of 5.3, Site administrators will have an easier way to set up and manage the AI settings for a site, and be able to report on the analysis status and results.

Configuring the HighQ AI engine within the admin settings

Site administrators will now have access to the Configure tab within the AI Hub section, which displays a list of AI engines that are available within the system. This lets you choose which AI engine(s) you want to enable within this site and enable Microsoft AI translation (if it is enabled on your instance of HighQ).

As a Site administrator, navigate to the Admin page for your site > AI Hub Configure:

The AI Hub services configuration screen will be displayed:

Here, you have the ability to see which AI engines are enabled and to enable and configure different AI engines. Within this screen, you can turn the HighQ AI engine ON and then click Save to save your changes.

Managing AI

The Manage screen gives the user the ability to assign AI to different folders. Site administrators are able to manage the AI engines that are applied for each folder and file in the system in a single, simple interface. This makes it easy to see which AI is assigned to each file or folder, to see the processing status of each file, and to apply AI easily to multiple selected files and folders.

Please note that there is currently a limit of 5000 items that you can assign AI to at once, and if there are more than 5000 items, the AI will not assign to all of the items if applied at the top level. 

Within site admin, navigate to AI Hub > Manage:

In the Manage screen, you can select which AI engine to apply to folders and sub-folders from the list of AI engines enabled within the Configure tab. If there is any additional configuration required, then you will be prompted to provide any additional information. 

The same configuration is assigned to the selected files and folders. If you wish to apply a different configuration, for example, a different AI engine project, you will need to assign each AI separately. 

Select the file(s) and folder(s) you want to analyse with AI, and click Assign AI.

  • By default, you can select each folder independently (Single folder selection) and you can select multiple folders to apply the same AI.
  • However, you may want to select a folder and all of its sub-folders and apply the same AI settings. To do so, change the folder selection mode to Folder and sub-folders before selecting the parent folder.
    You can apply AI to every folder within a site by choosing the root folder whilst using the Folder and sub-folders selection mode.
  • As of version 5.4 you can also select Individual files. Select this option to apply AI to a specific selection of files from all of the site.

The drop down will contain all AI that is available to you. Once you have selected the AI, it will be assigned to the folder(s):

To remove AI from folders, select the folder(s) you want to remove the AI from and click Remove AI:

Once you have selected the AI you want to remove from the folder, it will be removed.

Insights

Site administrators can view a list of reports that are available from the AI Hub. By default, the AI processing statistics report is selected, and the last month of AI files processed report is shown. 

In addition to the AI processing statistics report, there are reports on HighQ AI data that show the document classes, languages, governing law and document types of all the files that have been analysed by HighQ's own AI engine. 

To access insights, within site admin navigate to AI Hub > Insight:

Selecting a view for Contract Deviation statistics

If Contract deviation statistics is chosen, two types of report are available - Processing status, and Template statistics. Select which type of report in the Select view menu. Processing status is the default.

Processing status shows how many files are in what stage of being processed for Contract deviation. This allows the Site Admin to see if any files are stuck, and how many are still queued, how many have completed analysis. You can click to drill down to see which files are in a specific status.

The Template statistics report shows a report for each contract deviation template used in the site, and the average deviation for all files compared to that template. This allows you to see which templates have consistently high levels of compliance (low levels of deviation), and which have high levels of deviation (a lower score compared to the perfect value of 1.0).

A lower score means that files deviate more from the standard, indicating the template should be reviewed.

Viewing insights

If you open Insights when you select a new report, then the chart will update to show the matching AI Hub data, so that you can see the count of files for each category in the report:

When viewing the AI processing statistics report for AI processing statistics and Contract deviation statistics, if you click on a section in that chart, it displays the list of files for that section; then click a filename to preview a specific file. This can be useful for troubleshooting. For example, you can check if a scanned file has not been OCRed (as scanned files with no OCR cannot be analysed).
