Version 5.5 Release Notes

Please carefully read through these combined release notes for Collaborate and Publisher and be sure to test out the new features in the sandbox environment, when it's made available in the next few weeks. You're also invited to watch the on-demand webinar, What's new in HighQ 5.5, to see a live demonstration of the new features and capabilities.

HighQ's Support Team will contact existing customers in the coming weeks to let you know about your scheduled update to the new version. When you update, you will be able to use and access the capabilities of the platform that you have previously licensed. Contact your Client Manager about enabling any of the new features on your instance.

Detailed release notes and other changes

These tags can help you find changes that are relevant to your user type:

Workflow

• We have introduced the ability to allow non-HighQ registered users to be sent workflow-generated emails which can also include attachments. ^{SITE ADMIN}
• We have introduced the ability to schedule workflows on a daily, weekly, monthly or yearly basis, with or without iSheet conditions, including the ability to set a specific time for the trigger. This will trigger one action for all records rather than one action per record. ^{SITE ADMIN}
• We have introduced multiple workflow improvements, including the ability to clone workflow rules, the ability to include sub-folders when folder condition is selected, the ability to select the view for the link to a triggering record, added two new matching conditions and more. ^{SITE ADMIN}
• We have enabled the workflow automation of tasks by enabling task dates and assignees to be included with the other default task status, list and custom columns, enabling the true sequencing of tasks. ^{SITE ADMIN}
• We have introduced the ability to trigger the same workflow rule on a folder and all of its children at the same time. ^{SITE ADMIN}
• You can now automatically add a record to selected iSheets via workflow and dynamically pull values from a triggering iSheet into a  new record in another iSheet in the same site. ^{SITE ADMIN}

Files

• We have introduced the ability for administrators to view the OCR usage report, found at site and system level to find out how many documents have been processed and how many pages within the documents have also been processed or failed. ^{SITE ADMIN}
• We have introduced Smart folders which display a logical aggregation of files that exist in other folders within a site based on a set criteria. These can help users who perform reviews for individual teams, group content and manage approval workflows. ^{SITE ADMIN SYSTEM ADMIN}
• We have introduced the ability to bulk redact multiple documents based on a pre-defined term bank. ^{SITE ADMIN}
• We have introduced functionality to enable you to warn users when they upload a duplicate file to a target folder. Users can add the duplicate as a new version or add it as a new file with the same name. ^{USERS SYSTEM ADMIN}
• You can now track the status of DocuSign signatures for each recipient when a document is sent to multiple users. ^{SITE ADMIN}
• You can now annotate a document privately and keep the annotations separate from shared users. ^USERS
• You can now burn annotations into a document when the documents are downloaded individually. ^USERS
• We have introduced the ability to specify custom branding, including a logo, for the document bundle index pages ^{SITE ADMIN} 
• We have introduced the ability to optionally allow a recipient to open and edit a file when sharing a document from My Files in Word/O365/Workspace (Formerly G Suite), and automatically add it as a new version. ^{USERS SITE ADMIN} 
• We have introduced the ability to share files from within a site to someone who is not a registered HighQ user. The recipients can view and edit the files and then automatically send the files back to HighQ. ^{USERS SITE ADMIN}

Events

• You can now set up recurring events on a daily, weekly, monthly and yearly basis. This will also support subscribed and imported recurring events from third-party services and will be reflected in Outlook. ^{USERS SITE ADMIN}

Admin

• We have introduced the ability to bulk import users from a CSV or Excel file, enabling the quick import of many users into HighQ. ^{SITE ADMIN}
• We have introduced a new user type, the Basic User, which has been introduced for corporate legal teams. This new user will have an integral role within the internal organisation, but with limited permissions compared to an internal user. ^{SITE ADMIN SYSTEM ADMIN}
• We have released two features that will enable System administrators to control how a Solution template is shared and whether further templates can be created from the original Solution template. Contact your account manager for more information on these features. ^{SYSTEM ADMIN}

Tasks

• We have introduced the new hierarchy view which can be used for complex cases and matters where tasks are broken down into more detail. ^USERS
• You can now break down lists into sub-lists to categorise the tasks and sub-tasks within them for better project management. ^{SITE ADMIN}
• You can now create templates of your tasks in the Tasks module and reuse them across sites, saving hours of set-up time. Task templates are saved and managed at the system level and can be added for use in each site. ^{USERS SITE ADMIN}

Data visualisation

• We have introduced custom colours for chart categories and series, enabling administrators to override theme colours. ^{SITE ADMIN}
• We have also introduced the ability for System administrators to change the name and the colours defined in themes for FusionCharts, enabling branded charts and removing limitations on our default FusionChart themes. ^{SYSTEM ADMIN}
• We have introduced the ability for a site administrator to select 'Assignee' as a Series when selecting a Task Metadata iSheet (TMD) and the KPI chart type. The system will now present a series of KPI cards that will count, sum or average the value selected and create a KPI card for each Assignee. ^{SITE ADMIN}
• We have introduced the ability to remove decimals from value axis in FusionCharts. This means that if you had a chart with small numbers, such as 1 or 2, FusionCharts will no longer put decimals into the axes. ^{SITE ADMIN}

iSheets

• We have introduced the ability to share iSheet records via email or message. Once the link within the email or message is clicked, it displays one or more iSheet records from a pre-defined view. ^USERS
• You can now add comments to an iSheet record and these comments can be accessed by any user with access to the iSheet and if you print an iSheet record, you can include comments. ^USERS
• We have added Assignee, Start date and End date columns to Task Metadata iSheets which now means this data is accessible to both Workflow and Data visualisation. ^{SITE ADMIN}
• You can now copy an iSheet record to quickly create similar records. ^USERS
• You can now share forms with non-HighQ users so they can add records to an iSheet. A new system group can be used to set permissions for non-HighQ contributors. ^{USERS SITE ADMIN}
• iSheet attachments are now, by default, stored in the Attachments section of the Files module. Any attachment added since version 5.4 is now visible in the Files module. ^{USERS SITE ADMIN}
• Smart folders are now supported in file and folder metadata iSheets. ^{SITE ADMIN}

AI

• We have introduced an AI connector for external AI engines that can be used by our technology partners. By adding the HighQ-specified API support to your AI engine, it can be integrated seamlessly into the AI Hub. Further information on the required API support is available in the Developer Community. ^{SITE ADMIN SYSTEM ADMIN}
• The HighQ AI 'Manage Classifiers' functions have been moved from System admin. All new sites have the standard document classifiers and clauses enabled. Site administrators now manage classifiers in the Files module at site level. ^{SITE ADMIN}
• Contract Deviation reports in AI Hub Insights can now show analysis progress and the average deviation per template. ^USERS
• The AI Hub has added support to automatically push data to a Score column in an iSheet. ^USERS
• You can now rollback custom HighQ AI trained models for document classifiers and clause classifiers, in order to retrain or remove them. ^{SITE ADMIN SYSTEM ADMIN}
• Contract Deviation analysis now offers the ability to identify and exclude entities that often change in documents (names, dates and values) so that they do not interfere with the analysis. ^{SITE ADMIN}

Publisher

• We have introduced the ability for users to have greater access to Metadata logic rules to set pre-filter content on Dashboards and automated emails. ^USERS
• We have introduced a new system reports administrator role which allows for greater flexibility for users who can run audit reports without being a System administrator user. ^{SITE ADMIN SYSTEM ADMIN}
• Your chosen date formatting can now be applied within the admin console; however, this does not currently include audit reports. Please contact the HighQ support team for more information. ^{SITE ADMIN SYSTEM ADMIN}
• We have introduced the ability to upload bulk profile images directly from Active Directory allowing for the quick and easy upload of multiple profile images with one action. ^{SITE ADMIN}
• We have introduced the ability to create batches (or page numbers) of the RSS feed imported from Publisher, for easier consumption of large amounts of content. ^{SITE ADMIN}
• We have included the URL of the Related Materials publication/article and attachments in the RSS feed imported from Publisher, to enable users to consume these parts of a publication/article. ^{SITE ADMIN}
• We have introduced the ability to display the front-end vanity/permalink URL of the articles found within the RSS feed, rather than the back-end URL. ^{SITE ADMIN}
• We have introduced a new column for the Article permalink URL to be included in the Content Report. ^{USERS SITE ADMIN}
• We have introduced the ability to show hidden metadata nodes for approvers during the approval process. ^USERS

Search

• We have introduced the ability for a user to click View comment when searching for comments. The user will now be taken to the page and shown the actual comment location on the page, which will be highlighted. ^USERS 
• We have introduced a new search service that can be enabled by the HighQ support team that improves the performance of global search. The new search service is significantly faster and the system will now display an unlimited amount of search results and will no longer stop counting at 500. ^{USERS ON REQUEST}

HighQ Drive for iOS and Android

For versions 5.5.0 and higher:

• We have added more metadata values to the metadata view in our iOS and Android mobile apps. ^USERS
• We have introduced the ability to take a photo of a document, crop and tidy the resulting image, add a signature if required and save the result as a PDF or image in Collaborate. ^USERS
• We have introduced the ability for a user to show, add and remove favourite sites in the HighQ Drive App. ^USERS

Apps and Plugins

• We have released the new HighQ Stream messaging and activity app for Android. The app integrates with your HighQ instance to provide; instant secure messaging between users of an instance, an ability to view the Activity feed and see ongoing activity from all users and search for users and contact information. ^USERS
• We have added more metadata values to the metadata view in HighQ Drive Windows. ^USERS
• We have incorporated Smart Sync into the latest version of HighQ Drive for Mac. ^USERS
• We have introduced the ability for a user to show, add and remove favourite sites within the HighQ Drive App for Windows. ^USERS 

Delivered since 5.4.0

Below is a list of enhancements, fixes or features that have been delivered since the 5.4.0 release:

• We have introduced a new Solution template designed to be used with Legal Tracker for the Legal intake process. Please contact the HighQ support team for more information on setting this up. ^{USERS SITE ADMIN SYSTEM ADMIN INTEGRATION}
• We have added a new role for users, to enable site administrators to manage who can add custom Javascript into a site. This adds an extra layer of security, allowing you to restrict the number of users who can add custom Javascript, rather than give access to all users. • We have released the new HighQ Stream messaging and activity app for Android.
